The Front Desk Administrator & Operations Assistant plays a crucial role in supporting the efficient functioning of the performing arts studio.
This position involves a combination of administrative tasks, customer service, and operational support to ensure smooth day-to-day operations.
The Operations Assistant will work closely with the Studio Operations Director, instructors, and students to maintain a positive and productive studio environment.
Responsibilities:
Front Desk Operations:
Maintain a clean and organized front desk and lobby area.
Monitor studio entry and exit, ensuring the security and safety of students.
Assist instructors with administrative tasks as needed.
Administrative Support:
Assist in scheduling classes, workshops, and events.
Handle phone and email inquiries from clients and prospective students.
Maintain accurate records of class registrations.
Prepare and distribute promotional materials for studio programs and events.
Must be proficient in Canva! Customer Service:
Greet and assist clients, providing information about classes, schedules, and studio policies.
Address customer concerns, inquiries, and feedback in a professional and timely manner.
Assist in resolving issues related to class registrations, billing, and cancellations.
Ensure a welcoming and positive atmosphere for all studio visitors.
Communicate studio policies, updates, and announcements to students and parents.
Operational Support:
Set up and clean dance/theatre studios before and after classes and events.
Assist instructors with preparations for classes, including music setup and equipment arrangement.
Coordinate and assist in studio events, performances, and showcases.
Assist in maintaining cleanliness and organization in common areas and studios.
Financial Duties:
Support the Operations Director in the billing and invoicing process, ensuring accuracy and timeliness.
Team Collaboration:
Collaborate with instructors, studio directors, and other staff members to ensure smooth operations.
Participate in staff meetings, providing input and feedback to improve studio operations.
Support colleagues during peak times and special events.
Qualifications:
High school diploma or equivalent; some college education preferred.
MUST be proficient using Google Workspace, Canva, and social media Previous experience in customer service, administration, or dance-related activities is a plus.
Basic understanding of dance styles, techniques, and terminology is desirable.
Strong communication skills, both verbal and written.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize tasks in a fast-paced environment.
Friendly and outgoing personality with a passion for dance and the arts! Physical Requirements:
Ability to lift and carry studio equipment and supplies (up to 30 pounds).
Flexibility to bend, stretch, and move in dance-related activities.
