Come join our team! HME is currently recruiting for an Executive Assistant, part-time.
Reporting to the HME CEO, this position provides executive-level administrative support to the Founder, CEO, COO, and the executive leadership team as needed.
Working under minimal supervision, this position upholds the strictest level of confidentiality, exercising discretion and independent judgment.
Provides support to executive with daily administrative, complex, and strategic tasks that include interacting with and assisting executive leaders, employees, vendors, and customers.
Communicates on behalf of the CEO with different management levels to clearly and accurately interpret and deliver messages.
Represents the company in attending meetings, researching, and conveying information, interacting, and negotiating with vendors and customers.
What you will do in the position:
Administrative Support Assists C-level executives with a variety of responsibilities and special projects including but not limited to supporting executive initiatives, coordinating executive communications, developing presentations, reports and business plans using own knowledge of company priorities and strategies.
Takes independent action in interpreting & conveying information and makes recommendations for action.
Works independently and within a team on special nonrecurring and ongoing projects such as planning large-scale company meetings including negotiating contracts for facilities, food, and entertainment.
Interacts with all levels of management in monitoring performance to business plans.
Interfaces regularly with internal key leaders, customers, and employees, representing the company and proactively managing communication while tracking and driving completion of key deliverables, proactively following up on outstanding items as needed.
Performs internal and external research, compiles findings, makes recommendations, and carries out implementation.
Reviews and analyzes incoming correspondence and reports to determine their significance, independently prepares the necessary response and presents for approval prior to execution.
Proactively identifies issues and solutions in support of strategic initiatives.
Handles incoming calls, screens, answers questions, and directs callers to appropriate party.
Maintains a well-organized digital and soft copy filing system.
Plans, schedules, and coordinates regular conference calls, meetings, luncheons, and events (both on-site and off-site) with internal and external associates including attendee communication, venue management, audio/visual set-up, catering and program material coordination.
Manages multiple executive calendars daily and communicates any changes as appropriate.
Performs all other job responsibilities as assigned.
Vendor Relations Negotiates corporate rates with preferred hotels, monitoring services and making recommendations as appropriate.
Event Coordination Coordinates company luncheons, meetings, and events as required.
Coordinates sales meetings.
What you will need to succeed in this position:
Demonstrated expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and Teams.
Expertise in Adobe Cloud products as well.
Demonstrated experience in working independently and within a team to identify, analyze and solve problems with creative and successful solutions.
Proven ability to interact successfully with employees, customers and vendors in a demeanor that is representative of the leadership team.
Comfort and ability to thrive in environments that may present multiple and simultaneous demands for attention; ability to prioritize effectively in these situations.
Proficient knowledge of business practices and protocol.
Excellent interpersonal and communication skills to be able to communicate confidently and concisely.
Must be self-motivated and able to demonstrate good judgment and maintain a high level of confidentiality and professionalism at all times.
Experience - 6
years related experience in a fast-paced environment supporting C-level executives.
Education - AA Degree (2 years college) - Preferred Pay Range:
$39.
37/hr to $51.
15/hr.
This is the pay range we reasonably expect to pay for the role.
This may vary depending on experience and other factors.
