Overview:
We are seeking a detail-oriented and well-organized individual to join our team as a File Clerk for a fast paced Law Firm specializing in Family Law, Divorce Law, Mediation and Agreements.
As a File Clerk, you will be responsible for maintaining and organizing physical and electronic files, ensuring efficient document management within the organization and assisting your team of attorney's.

Responsibilities:
File Organization - - Organize and maintain physical and electronic files in accordance with established procedures - Retrieve files as needed for various departments and individuals.
- Process incoming documents - Electronic, Mail, personally served documents.
(scan, save, circulate, add to the firm's organizational software) - Process outgoing documents - Email/Mail outgoing documents (scan, save, circulate, add to the firm's organizational software) Court Filings - Assist with preparation of documents to be filed with the court.
(electronic filing, attorney service filings, serving conformed pleadings to opposing counsel and parties) - Assist in the creation of new electronic client files.
(Creating electronic files, fill in template pleading forms, etc.
) - Perform data entry tasks to update and maintain records.
(Updating firm software with client details, and case information.
) - Coordinate with other firms/departments or attorney service to ensure timely retrieval and delivery of files.
Billing - enter billing and expense information for tasks completed.
- backing up attorney by cross checking billing information with calendar Trial/Hearing/MSC Prep and Returns - Scheduling court reporters - Printing pleadings for hearings for attorney review and use prior to hearing - Sorting returned pleadings from hearings.
File Maintenance - Maintain conformed copies in electronic file.
- Closing files for finished clients - Pull and print working copies of documents for attorney use.
- Scan/Save notes into clients electronic file.
- Attach Proofs of Service to served filings.
General/Miscellaneous Tasks - Assist with answering general firm calls and calls directly related to your team of attorneys.
- Assist with email responses for your team of attorneys.
- Assist with Calendaring hearings, meetings, calls, etc.
- Scheduling Court Reporters for hearings, depo's, etc.
- Saving evidence and attachments from emails.
- Scan attorney/staff notes to client files.
- Ordering hearing minutes.
- Provide excellent customer service to internal staff members who require filing assistance.
- Assist with project coordination and office management tasks as assigned
Qualifications:
- High school diploma or equivalent required - Previous experience as a file clerk for law firm or in a similar administrative role within a law firm preferred.
- Strong computer literacy, including proficiency in Microsoft Office Suite - Familiarity with Family Law, Divorce Law, Mediation, Agreements.
- Excellent organizational skills with a keen attention to detail - Ability to prioritize tasks and manage time effectively - Strong data entry skills with a high level of accuracy - Professional phone etiquette and familiarity with phone systems This is an excellent opportunity for individuals who thrive in a fast-paced environment and have a passion for Family Law or Law in general.
