Administrative Assistant / Front Office Coordinator

Nelson San Diego is looking for a seasoned Administrative Assistant/Front Office Coordinator for an electronics company in the Carlsbad area. This is s temp-to-hire position paying $18.00 to $21.00 per hour. Additional perks and incentives available upon permanent hire.

Position Responsibilities:
Answer and route phone calls
Greet guests & candidates and escort to conference rooms
Set up conference rooms for meetings and candidate interviews
New hire set-up including creating and labeling folders, desk set-ups, new hire kits, access keys
Take photos of employees and make ID badges
Complete expense reports monthly
Coordinate employee events with HR
Manage external mailings and sort and deliver incoming mail
Sign for and distribute deliveries
Prep packages for deliveries
Manage internal distribution of employee notices
Place weekly orders for office supplies
Manage NDA (non-disclosures) process including receiving them, printing for signatures, scanning and uploading to database
Filing for accounting and finance
Provide administrative support to executives including VP of Sales and CEO; set up meetings and manage calendars
Coordinate annual conferences and tradeshows

Required Skills:
Strong customer focus with the ability to appropriately manage expectations
Ability to respond to urgent requests, to be flexible and to meet deadlines
Solid MS Office skills including Outlook, Excel & Word required
5-7 years of experience in reception / front office with 2-3 years of executive assistant experience required
Bachelor's degree preferred

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
